How do I manage worker check-ins and check-outs?

A quick guide for starting and ending shifts with QR codes.

Workers now check in and out by scanning a QR code.
Each shift has its own code, and scanning it records the worker’s time on site.


What you need to know

  • Every shift has a unique QR code.

  • Workers use the same code to check in and check out.

  • The code confirms the worker is at the correct job site.

  • You can check workers in or out manually if needed.



How to show the QR code

  1. Open the job in the app.

  2. Tap “Shift QR Code.”

3. Choose how to share:

  • Show on screen for scanning from your phone or from the GravyWork For Business app (App Store, Google Play).

4. You can also download, print, or share the QR code to a Shift Supervisor with the share features.

  • Share the QR code via the PDF or SMS feature

How to guide workers on site

  • Let workers know who to find for check-in.

  • The shift supervisor should have the QR code ready.

  • Workers scan the code when they arrive and again when leaving.


Manual check-in or check-out

If a worker can’t scan:

1. Go to the job page.

2. Find their name.

3. Click Check In or Check Out.

4. Adjust times or breaks if needed.


Reviewing timesheets

  • You have 2 days after the shift ends to review.

  • If no action is taken, the system auto-approves the timesheet.


Tips

  • Download the mobile app so you have the QR codes at your finger tips.

  • Give your workers clear instructions on where to check-in with you under the Check-in instructions.

  • Print the QR codes ahead of time and keep them in the same place.

  • Keep printed codes in a visible spot.
